Cleaning proposals need to be specific about what's included in each visit — because every client has a different definition of "clean." A room-by-room breakdown with frequency and method details prevents the #1 complaint: "I thought that was included."
Square footage, number of rooms, number of bathrooms, number of floors, property type (residential, office, retail, medical). Note special conditions: pets (hair removal), children (non-toxic products), allergies, security access requirements.
Kitchen: counters, stovetop, exterior appliances, sink, floor (mop), cabinet fronts. Bathrooms: toilet, shower/tub, vanity, mirror, floor. Bedrooms: vacuum, dust surfaces, make beds (if requested). Living areas: vacuum, dust, spot-clean surfaces. Detail what's standard vs deep-clean for each area.
Define the difference clearly. Maintenance: surface cleaning, vacuum, mop, bathroom sanitize, kitchen wipe-down. Deep clean: inside oven, inside refrigerator, baseboards, window sills, light fixtures, ceiling fans, behind furniture. First visit is usually a deep clean; subsequent visits are maintenance. Price accordingly.
Per-visit rate for maintenance cleaning. Deep clean rate (typically 2-3x maintenance). Price per square foot or flat rate per visit. Discounts for recurring (weekly vs bi-weekly vs monthly). Add-ons: inside windows, laundry, organizing, move-in/move-out cleaning.
Specify whether you bring your own products or use client's. List product types: all-purpose cleaner, glass cleaner, disinfectant, floor cleaner. Note eco-friendly or non-toxic options if offered. HEPA vacuum vs standard. Microfiber cloths vs disposable. Clients with allergies or preferences care about this.
Day of week, time window, estimated duration per visit. Key/code policy: lockbox, key exchange, or client must be home. Cancellation policy (24-48 hours notice). Holiday schedule. How to handle locked rooms or areas not to clean.
