Snow Removal Proposal Template

Snow removal proposals are seasonal contracts, not one-time bids. The client is buying reliability and response time, not just plowing. A proposal that specifies trigger depth, response windows, and de-icing materials wins the contract — and avoids the 3 AM phone call arguments.

What Every Snow Removal Proposal Should Include

1

Contract Overview

Service period (e.g., November 1 — April 15), property address, property type (residential driveway, commercial lot, HOA). Define the contract type: per-push, seasonal flat rate, or per-inch tiered pricing. Each has pros and cons — explain why you're recommending one.

2

Service Areas & Specifications

Map out exactly what's plowed/shoveled: driveway (dimensions), parking lot (sq ft, number of spaces), sidewalks (linear feet), entrance walkways, loading docks, fire lanes. Note snow stacking locations. For commercial: ADA path requirements, fire lane clearance, dumpster access.

3

Trigger Depth & Response Time

Trigger depth is the snow accumulation that activates service (typically 2" for commercial, 2-3" for residential). Response time: how quickly you'll be on-site after trigger depth is reached (typically 2-4 hours). During-storm service vs after-storm-only. 24/7 monitoring. These are the contract terms that matter most.

4

De-Icing & Salt

Material: rock salt, calcium chloride, magnesium chloride, sand/salt mix, or eco-friendly alternatives. Application areas: walkways, entrances, parking lot, handicap ramps. Pre-treatment (anti-icing before storms) vs reactive application. Price per application or included in seasonal rate. Note environmental restrictions if applicable.

5

Pricing

Per-push: rate per push at trigger depth, additional charge per inch above threshold. Seasonal: flat monthly rate (November-April), state what's included (unlimited pushes, de-icing caps). Per-inch tiered: 2-4", 4-6", 6-12", 12"+. Separately price: sidewalk shoveling, salt application, roof snow removal, ice dam treatment. Show total or monthly.

6

Liability & Terms

Insurance: general liability and auto insurance for plowing operations. Slip-and-fall liability: who's responsible after service is completed (this matters). Damage clause: how mailbox, lawn, or curb damage is handled. Payment: monthly billing, due within 15 days. Cancellation: 30-day written notice. Severe weather clause for extreme events.
